Automation + Accounting · For home-services contractors

From first call to closed books, nothing slips through.

Loopwise installs the systems that answer your leads in minutes, chase your invoices, and keep your books closed and reconciled every month — so the office runs while you're on the tools.

Close the loop. Every time.

How it fits together

One loop, not five disconnected tools

Most contractors don't have a lead problem — they have a handoff problem. Work falls between the phone, the field, and the books. Loopwise closes every handoff in a single chain:

1

Lead

A call comes in, a form gets filled, a text lands — from Google, your site, or a referral.

2

Follow-up

An instant reply goes out, then a polite sequence until they answer. No lead waits on your voicemail.

3

Invoice

The job gets invoiced, receipts get captured from the field, and overdue bills get chased automatically.

4

Books

Transactions flow into QuickBooks or Xero, get categorized, and get reconciled against the bank.

5

Reports

You get a clean month-end package: what you made, what you're owed, and where the money went.

Why one provider for all of it? Because the follow-up system knows what the invoice system billed, and the books are fed by both. Buy the pieces separately and you're back to stitching them together yourself — at 9 pm, after a full day on site.

Sound familiar?

Where good shops quietly lose money

None of these need a bigger crew or more ads. They need systems that don't forget, don't get busy, and don't quit at 5 pm.

Calls that ring out on the job

You're under a house or up a ladder. The caller doesn't leave a message — they call the next name on Google. That job is gone before you ever hear about it.

Invoices sent late — or never

The work's done, the customer's happy, and the invoice sits in a notebook for three weeks. Every day it waits, it gets harder to collect.

Receipts in the truck console

Materials, fuel, subs — scattered across glove boxes and text threads. Come tax time, you're paying for deductions you can't prove.

Books that never match the bank

QuickBooks says one number, the account says another, and neither gets checked until something bounces. Decisions get made on numbers nobody trusts.

Automation setups

Pick a package. We build it, you run your jobs.

Each package is a one-time setup, built around the tools you already use. Start with one, or take the full loop. Every setup includes training for you and your crew, and written documentation of how it all works.

Accounting services

Your books, run like a back office — not a weekend chore

Loopwise's accounting line is led by a career accountant — a real estate accountant at a national firm by day, with prior roles in transportation accounting and billing going back to 2010. Automation does the sorting and chasing; a human reviews everything before your books close. We work in QuickBooks Online or Xero — yours if you have one, set up fresh if you don't.

How your money and your books stay protected

We never hold your moneyInvoice payments and check runs are prepared and queued in your system — you review, approve, and release every payment. No custody, no check-signing, ever.

A human checks the machineAutomation proposes categories; transfers, owner draws, loans, and tax payments always wait for human review. No rule goes live without sign-off.

Accounting starts with a pipelineAccounting is sold with Package B or C in place, so your books are fed by a working intake system — not reconstructed from a shoebox each month.

Care plans & the pilot

Setups are one-time. Keeping them sharp is monthly.

Automations drift — numbers change, staff turns over, tools update. A care plan keeps your loop tuned and gives you a person to call. Optional, month-to-month, cancel anytime.

Care plans

For automation clients. Accounting clients get system monitoring included in their retainer.

Care — $300/moMonitoring, small tweaks, and a monthly check-in on what's working.

$300/mo

Care Plus — $500/moEverything in Care, plus priority changes, quarterly reviews of your numbers and follow-up performance, and new automations scoped first.

$500/mo

The pilot: 50% off setups, 2 spots only

Loopwise is taking two pilot clients at half off any automation setup — that's the Full Loop for $1,248 instead of $2,495.

In exchange: a short testimonial once it's running, and permission to share your before/after numbers (response times, invoices collected, hours saved) — with your name on the final wording before anything is published.

Fair warning, plainly stated: pilot pricing covers automation setups. Accounting onboarding and retainers are priced as listed — clean books can't be half-built.

How it works

Running in about two weeks. Books closed by the 12th.

Step 1 · This week

Fit call

Twenty minutes. We look at how leads, invoices, and books actually flow in your shop today, and tell you honestly whether Loopwise fits.

Step 2 · Days 1–10

Build

We set up your packages and connect your tools. You keep working — we only need short check-ins, not your afternoons.

Step 3 · Week 2

Walkthrough

A live walkthrough with you and your crew, plus written documentation. Nothing goes live until you've seen it work.

Step 4 · Monthly

The loop runs

Leads get answered, invoices get chased, and — for accounting clients — the books close on the calendar below, every month.

The close calendar (accounting clients)

Days 1–3

Your documents are due — most arrive automatically through the intake system from Package C.

Days 4–7

Transactions categorized, questions collected into one short list — not twenty separate emails.

Days 8–10

Human review of everything the automation flagged, bank accounts reconciled.

By day 12

Your reporting package lands: P&L, balance sheet, AR/AP status, and what needs your attention.

Straight talk

What Loopwise is — and isn't

We'd rather lose a sale here than have you find out later. Four things, up front:

We're not a CPA firm

Loopwise provides bookkeeping, accounting operations, and automation services. We don't prepare or file tax returns, give tax advice, or perform audits. We'll keep your books so clean your CPA sends you a thank-you note — and we're happy to work directly with them.

Your money never passes through us

Payments and check runs are prepared and queued in your own accounts, released only by you. We never hold client funds, never sign checks, and never ask for your bank password — access is through your accounting platform's proper permissions.

Automation assists. Humans decide.

The software drafts, sorts, and chases. Review replies, payment batches, and your monthly close are checked by a person before they count. If the automation is ever unsure, it queues the item for a human instead of guessing.

We're deliberately small right now

Accounting is capped at a handful of clients so every close gets real attention. That means we sometimes say "not yet" — and it means if you're in, you're not a ticket number.

Questions

Asked by owners like you

Do I need to change the software I already use?

Almost never. The automations are built around your existing tools — your phone system, your CRM or invoicing app, email, and texting. For accounting, we deliver inside your existing QuickBooks Online or Xero file. On a platform we don't support for accounting (FreshBooks, Wave, Zoho Books), we'll migrate you to QuickBooks Online or Xero as part of onboarding rather than run your books on tooling that can't keep up.

Which accounting software do you recommend if I'm starting fresh?

QuickBooks Online, for most US contractors — it's what the most shops, bankers, and CPAs already speak. If you're already on Xero and like it, stay; we're fluent in both. If you later want a QuickBooks certification-backed specialist, that's a fair conversation as your volume grows — the work itself is platform-agnostic.

Will texts and emails really go out without me?

Follow-ups and reminders, yes — that's the point, and they stop the instant a customer replies. Anything reputationally sensitive is different: review replies are drafted for your one-tap approval, and nothing public ever posts without you seeing it first.

How do invoice payments and check runs work if you never touch my money?

We prepare the batch in your system: bills verified, amounts and due dates checked, everything queued. You get one clean approval list. You click release — the money moves from your account, under your authority, with a full audit trail. All the convenience of a bill-pay service, none of the custody risk.

What does the 50% pilot discount actually cover?

Automation setup fees — any package, or the Full Loop bundle — for the first two clients who sign. In exchange we ask for a testimonial and permission to publish your results. Accounting onboarding and monthly retainers aren't discounted; the pilot questions in the form below tell us you're interested.

What if it doesn't work for my shop?

Care plans are month-to-month. Accounting retainers start with a three-month initial term — long enough to get through real closes — then go month-to-month. And if the fit call tells us Loopwise isn't right for you, we'll say so on that call, before you've paid anything.

How much of my time does this take?

About twenty minutes for the fit call, a couple of short check-ins during the build, and one walkthrough. After that: accounting clients spend a few minutes in the first three days of the month getting documents in — and with Package C, most of that happens on its own.
